Virtual Meetings

 

At the GPWC the focus is on the conversation about, and around, writing. For this reason we will not simply put comments on a document and return it to the author. If you are a WSU graduate student not in the Pullman area we do have some limited options to assist you with your writing. The guidelines are listed below:

 

 

GPWC Virtual Meeting Guidelines

 

The GPWC will, under very specific circumstances, run virtual one-to-one meetings with graduate and professional students; however, because of the increased demand on facilitators, there are some specific guidelines that must be met in order to schedule a virtual meeting:

 

  • It must be completely impossible for the student to attend a physical meeting in any capacity. Students who are in the Pullman area are assumed capable of attending a physical meeting and are ineligible for virtual meetings.

 

  • At this point there are limited facilitators who are trained to conduct virtual meetings – please email us at gpwc@wsu.edu to inquire about who is trained to provide this service.

 

  • The student must contact the facilitator directly at least one week in advance to schedule a virtual meeting. Virtual meetings cannot be scheduled solely on the scheduling software, but require direct communication with the particular facilitator.

 

  • All virtual meetings must be conducted through Skype. The student must set up a Skype account no less than 24 hours before the scheduled meeting.

    • The Student must have access to both audio AND video through Skype. It is not enough to have only an audio connection.

 

  • The student must submit a friend request to the GPWC Skype account at least 24 hours before the scheduled meeting.

    • The GPWC facilitator will then accept the friend request at the beginning of the meeting.

    • The GPWC Skype account name is: wsugpwc

 

  • Because of noise issues, virtual meetings cannot be scheduled while there are other meetings occurring in the GPWC. For this reason virtual meetings can only be scheduled when there is no other open meeting block with a different facilitator.

 

The GPWC facilitator will make the Skype call to the student to start the virtual meeting. Students should not call the GPWC Skype account.

 

Because of the additional preparation required for the facilitator, the meeting may not start immediately at the top of the hour, but will start at least 10 minutes into the scheduled hour. The student must, however, be ready to receive the facilitator call right at the scheduled start time. If the first call fails the facilitator will attempt to call back two times; however, after the third failed call the facilitator has the discretion to cancel the meeting.
